Provides a high level of administrative support to the Executive Director of Human Resources with the highest level of excellence, professionalism, and confidentiality. Plan, organize and coordina te the administrative aspects of the office functions. Effective and efficient communication, computer, and phone skills. Ability to work in a fast paced environment with frequent interruptions. Must have the ability to adapt to flexible work schedule, problem solve and decision-making. Handles multiple priorities within appropriate task deadlines. Maintains confidentiality of personnel information. Interacts with patients, family, physicians, nurses, managers/ directors and other staff; and handles confidential patient and employee information. Provides backup coverage for Human Resources Assistant and front desk coverage, providing exceptional customer service. Provides administrative support to other departments within Human Resources, including Employee Health, Education and Medical Staff Services at the direction of the Executive Director. Performs other duties as assigned. Always works as a team member within the entire facility.
Essential Functions:
  • Provides administrative support to the Executive Director of Human Resources/Medical Staff Services.
  • Provides support for the Human Resources Manager as needed.
  • Provides backup coverage for the Human Resources Assistant for front desk HR coverage, displaying exceptional customer service skills and professionalism.
  • Handles confidential information which would have immediate negative impact on the company operations, performance, or value if shared beyond its intended audience.
  • Provide direction and prioritization standards for the screening of the executive's mail, email, voicemail and appointments using expert judgment and knowledge.
  • Anticipate executive’s needs and proactively brings together appropriate people and other resources to support the executive in addressing issues.
  • Assists in coordination of Employee Injury tracking and follow-up, including maintaining spreadsheet and OSHA log.
  • Gene rates correspondence, reports, mail outs, audiovisual equipment as needed.
  • Scans and assists in maintaining electronic personnel files and assists with Medical Staff credentialing files.
  • Assists in meeting preparation as needed.
  • Assists with reporting and preparation of monthly and weekly analysis as needed.
  • Maintains open positions report and assists with maintenance of Position Control as well.
  • Assists with special event coordination as needed â€" Birthday Lunch, Service Awards, Annual Medical Staff Meetings, Company Events, and Community Functions.
  • Assists with preparation of career fairs and other recruitment functions as needed.
  • Demonstrates excellent customer service, effective and efficient communication, computer, and phone skills.
  • Answers team members’ questions regarding general human resources inquiries, or directs them to other areas as appropriate.
  • Demonstrate ability to work in a fast paced environment with frequent interruptions.
  • Must have the ability to adapt to flexible work schedule, problem solve and decision-making.
  • Works with Human Resources Assistant to maintain necessary equipment and office supplies.
  • Maintains confidentiality of all administrative, medical staff and personnel matters.
  • Schedules interviews and departmental meetings as requested. Assists in monitoring applicants in Recruitment HRIS and assists hiring managers as needed.
  • Assists Executive Director with calendar and meetings, including preparation and reminders.
  • Satisfactorily demonstrates the knowledge, skills and abilities to perform the duties outlined in this job description as well as continually demonstrates competency in performing the job duties.
  • Assists with front desk coverage as needed.

Qualifications:
  • High school diploma or equivalent required.
  • Associate Degree or higher preferred.
  • Education courses in Human Resources with Executive/Administrative Assistant skills preferred.
  • Minimum of 2 years experience in Administrative Assistant Position preferred.
  • Typing skills of 50 wpm required.
  • MS Word, PowerPoint, Excel, Outlook, and Publisher experience preferred.

Required Physical Demands:
  • Strength (Lift, Carry, Push, Pull): Light (Exerting up to 20 pounds of force occasionally, or up to 10 pounds of force frequently)
  • Standing/Walking: Occasionally; activity exists up to 1/3 of the time
  • Keyboard/Dexterity: Constantly; activity exists 2/3 or more of the time
  • Talking (Must be able to effectively communicate verbally): Yes
  • Seeing: Yes
  • Hearing: Yes
  • Color Acuity: No

Environmental Conditions:
Level: High
Hazards will be minimized if universal safety procedures are followed. Must follow standard precautions. Heavy work volume and high degree of accuracy required. May be required to work extended hours to meet critical deadlines. Travel may be required. Exposed to weather conditions during travel.
